Job Description

We are currently working with a small, reputable house builder based in Berkshire. They are looking to recruit enthusiastic individual to oversee the full administration of the office, being involved in the whole day-to-day running of a high performing administration function. This role will supervise the Admin Assistant to ensure tasks are carried out accurately and efficiently.

 

You will be passionate about technology, computing and cloud software with a drive to learn and develop your skills

 

Duties include:

  • Responsible for system administration checks to ensure that systems are operating smoothly; this could include the design and implementation of a new process for review
  • Provide high quality project, service, initiative and administrative support including information and analysis, this includes taking formal minutes and chasing actions from project meetings
  • IT administration for all new users and point of contact for outsourced IT support providers (Finance, Land, Technical and document management software) including printing and scanning
  • Licences and subscriptions administration (date to and from, passwords and user admin)
  • Administration of Ressance Information Management System and Intranet System
  • Facility Management ensuring machines are maintained, serviced and in working order, overseeing all future office improvements/refurbishments
  • Health and Safety for the office, being the point of contact for all health and safety matters from risk identification to prevention, this will require the successful person to be a Fire Marshall and First Aider
  • Provide travel management support. Plan, book, schedule and prepare full travel itineraries
  • HR Support, administration of holiday/sickness record keeping, reviewing, updating and creating company policies and booking all training courses
  • Petty cash and credit card reconciliation, maintaining supporting evidence for expenditure
  • Credit control for commercial aged debtors
  • Creation and standardisation of company templates
  • Provision, auditing and updating of Ressance Information Policy ensuring compliance with GDPR
  • Submitting expenses for company directors
  • Secretarial skills would be advantageous as this role would hold diary management duties for company executives
  • Raising Office PO’s and Goods receipting
  • Admin support for the design office i.e. raising PORs/POs for professional services and ordering marketing collateral
  • Weekly banking
  • Holiday cover for Accounts Assistant
