Potensis “the Company” is a recruitment business which provides work-finding services to its clients and work-seekers. The Company must process personal data (including sensitive personal data) so that it can provide these services. In doing so, the Company acts as a data controller.

You may give your personal details to the Company directly, such as on an application or registration forms or via our website, or we may collect them from another source such as job boards. The Company must have a legal basis for processing your personal data. For the purposes of providing you with work-finding services and/or information relating to roles relevant to you, we will only use your personal data in accordance with the terms of the following statement.

The Company will retain your personal data only for as long as is necessary. Different laws require us to keep different data for different periods of time.

The Conduct of Employment Agencies and Employment Businesses Regulations 2003 require us to keep work-seeker records for at least one year from (a) the date of their creation or (b) after the date on which we last provide you with work-finding services.

We must also keep your payroll records, holiday pay, sick pay and pension’s auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation.

As Potensis Ltd does not process special category data, we will not be processing personal data based off of consent, however, should Potensis Ltd ever need to process any special category data or rely on consent as a lawful principle then each individual will be contacted directly to seek the individuals consent.

Maintaining your privacy is really important to us. Potensis Limited (“Potensis”) is committed to protecting the privacy of our candidates, clients and users of our website. We want to provide a safe and secure user experience. We will ensure that the information you submit to us via our website or through any of our offices is only used for the purposes set out in this policy.

This policy was last updated on 30th April 2018. It may be updated in the future and we’ll post the new version here on our website. We will never deviate from our overall philosophy of maintaining your privacy though.

This policy explains how we collect, store and use personal data when you browse www.potensis.com (the “Potensis website”), use the online job application form or otherwise provide your personal data to us.

By visiting, logging into, registering or using the Potensis website, you agree that it’s okay for us to collect, use and transfer your information, including your personal data under the terms of this policy. Your Data
When we say your “personal data”, we mean any information that identifies any person that you provide to us during your registration, or contained in any other information that you provide to us (or that you authorise a third party to give to us on your behalf).

Your personal data includes the information you provide, or that you authorise someone else to provide, when you register and set up an account or sign up to receive our emails,  or vacancy alerts, or when you answer questionnaires, surveys, enter competitions or provide information in your account profile, on the Potensis website. It also includes information you provide when you complete any forms which you submit to us.

We do not sell, trade, rent or pass on your personal data to third parties unless we are required by law to disclose it in connection with the detection of crime, the collection of taxes or duties in order to comply with any applicable law or order of a court of competent jurisdiction or in connection with legal proceedings.

For security reasons and to aid in monitoring patterns of usage, we identify your IP address (where available) when you use the website. This is your computer’s individual identification number that is assigned to your computer when connected to the Internet.

We monitor traffic information when you visit our site or read our e-mails, including things like page visits, email clicks, social media engagement, referring sites, and video viewings. We use this information to improve our website, service to candidates and clients, and to understand how we can improve servicing our candidates to find new career opportunities.

We may receive information from others e.g. your future employee, this could include the place of work, salary and benefits package.

We may use your personal data to contact you by telephone, email, post, SMS and social media to notify you about job opportunities, employment trends, salary surveys, industry insights, career advice or changes to the services we provide as a company.

By using the Potensis website/registering and setting up an account, you are consenting to this use of your data. To stop receiving emails from Potensis itself (for example and e-shot about employment trends), you should click the ‘unsubscribe’ option within the email.

To provide the highest level of candidate service, we need accurate candidate information. You can help by informing us whenever your circumstances change. You can ask us to correct incorrect personal data about you by writing to or emailing us at dpr@potensis.com.
