Our client, who are one of the UK’s leading social housing repairs contractors, are looking to recruit an administrator for their repairs and maintenance contract in North London. Working as part of a team to assist the operational team to deliver a quality service to all clients including Housing Associations and Local Authorities and their residents.

Key Tasks / Activities/ Responsibilities:

  • Daily scheduling and tracking of Scaffolding going up and coming down for both Reactive Repairs and Major Repairs
  • Managing the online Scaffold Register
  • Ensuring that the Scaffold Register and all safety inspections are up to date
  • Managing all Damp Reports for the contract, ensuring recommended works are raised, scheduled and completed in a timely manner
  • Managing all Call Offs (non-contractual works), including requests for funding and raising work orders
  • Liaising with Contractors on a daily basis to ensure raised works are completed as per schedule and the system is updated with notes from each job
  • Monitor through reports and tracking of KPIs to ensure that the best quality of service is given to Clients
  • Monitoring, raising and analysis of all repairs relating to Legal Disrepair and Damp Works from inception to completion to ensure contract timescales are adhered to
  • Monitoring of follow on works to completion in agreed timescales
  • Ensuring all Section 20 requests are sent to the Leasehold team where appropriate
  • Managing the Section 20 report, ensuring the final cost does not exceed the notice served
  • Reviewing Planet FM system (in-house repairs system) to ensure all relevant information has been captured and recorded within the system by the Contact Centre
  • Distribution of incoming/outgoing communications (e.g. letters, telephone calls, emails), typing and filing of documents and ad-hoc administration duties
  • Managing confidential data

Working on traditional residential schemes, the successful applicant will be required to ensure design and technical information is available to the required standard at the required time to all the appropriate stakeholders, prepare and monitor design programmes, maintain project design documentation including specifications, make applications for and progress technical and statutory approvals, provide technical support and advice to the wider project team and assist in the selection, appointment & management of external design and technical services consultants.

With a background in civil engineering, applicants will also have prior experience of working closely with local authorities, external consultancies and Utilities Companies supervising adoption of S38, S278 works and the vesting of S104 works for current and completed developments as well as design knowledge on highways and temporary works.

Daily tasks will include but not limited to, repairing leaks, replacing bathroom / kitchen taps, mixer showers, renewing waste pipes, toilets, syphons, inlet valves, baths / sinks / basins, bath panels, vented and unvented cylinders, pumps, tiling, complete bathroom replacements, radiator replacements / TRV’s.

Applicants must be time-served, have a valid driving licence, as a van will be provided. The ideal candidate will have previous experience within the social housing sector.
